Office Manager / PA

JOB ROLE: OFFICE MANAGER / PA

LOCATION: REMOTE

REPORTING TO: MD – KEITH MCMEAN

JOB PURPOSE/OBJECTIVE

  • Supporting MD
  • Client Engagement
  • Support of key objectives
  • Update project progress and action plans
  • General office admin

CANDIDATE WILL BE RESPONSIBLE FOR:

  • Answering the phone
  • Deal with forwarded emails and action (set up controls in Gmail)
  • Update HR system – Breathe HR
  • Be proactive, take things forward on own initiative.
  • Customer Relationships build strong relationships with key influencers.
  • Business Development, research and agreeing target customers
  • Acting on business development needs, cold, call, email, connect online,
  • Answer general business enquiries.
  • Update the MD on progress and projects on a weekly basis
  • Be there to listen, advise, and even challenge and update on current actions linked to the business’s overall strategy.
  • Finance – bookkeeping (occasionally, more liaising with bookkeeper and accountant)

  • Accounts Xero system
  • Breathe HR system
  • Google – Gmail and google
  • CRM – HubSpot. (free version)
  • Telephone and verbal skills
  • Awareness/empathy i.e. Ability to read the situation quickly and adapt to suit
  • Being professional at all times

EXPERIENCE REQUIRED

  • Worked as Office Manager for small fast-moving business (min 3years)
  • Dealing with people – a lot of phone calls and emails
  • Working on their own, but being considerate to the business needs
  • Can you give examples of how you have done this in the past in another role and also some clear examples of where this has gone well but also where it’s gone wrong?
  • Why it went wrong and what you learned, and did differently going forward to ensure they were in control, resilient and considerate
  • Working in timely manner, processed follow up
  • Not being afraid to challenge the norm
  • Not afraid to take from the MD tasks and projects that you can take ownership of
  • Ideally experience working with training company, online LMS business
  • Event management, organisation experience is preferable

  • Overseeing Marketing and PR campaigns
  • Creating powerful marketing campaigns that reach and engage with our target audience
  • Website management – DIVI Theme running on WordPress
  • Social media management
  • Copywriting and content management
  • Data analytics
  • PR and corporate communications
  • Ensuring we are targeting the right audience/s
  • Managing the company’s marketing budget
  • Build strategic relationships with key industry partners
  • Analysing consumer behaviour and adjust email and advertising campaigns accordingly

  • Demonstrable experience in marketing together with the potential and attitude required to learn
  • Proven experience in identifying target audiences and in creatively devising and leading across channels marketing campaigns that engage, educate, and motivate
  • Solid knowledge of website analytics tools (e.g., Google Analytics, FB Insights, WebTrends or equivalent)
  • Experience in setting up and optimising marketing campaigns, when required
  • Numerically literate, comfortable working with numbers, making sense of metrics and processing figures with spreadsheets
  • Up-to-date with the latest trends and best practices in online marketing and measurement
  • A sense of aesthetics and a love for great copy and witty communication
  • Provide examples of successful campaigns, blogs, promotions etc.
  • How have you mastered the craft of writing engaging and witty copy.
  • How do you know what works for the set target audience?
  • How have you adjusted your style?
  • Then how you will implement this within TEG if you are successful in obtaining the role?
